1. Who we are

Get Found Kelowna is the operating name of 1502966 B.C. LTD., Kelowna, British Columbia, Canada. This policy explains how we handle personal information on this website and when we work for you. We follow the principles of Canada's federal privacy law (PIPEDA) and British Columbia's Personal Information Protection Act (PIPA).

Questions or requests about privacy go to our privacy contact at getfoundkelowna@gmail.com.

2. What we collect

  • Contact details: your name, email, phone number, business name and city, from our audit and contact forms, checkout, and emails you send us.
  • Audit and setup information: what you send for your free audit or when you get started, like your logo, photos, videos, hours, services and answers to our setup questions.
  • Payment details: card payments are handled by Stripe. We see your name, email, billing address or postal code (for tax), the amount, and the card type and last 4 digits. We never see or store full card numbers. For Interac e-Transfers we see the sender's name, email and the amount.
  • Account access you give us: manager or invite access to your Google Business Profile, social media accounts or website. We don't ask for passwords.
  • Your customers' information: when we reply to reviews, send review requests, or the AI Front Desk replies to missed calls and texts, we handle details about your customers (like names, phone numbers, emails, review text, messages, and call details, transcripts or recordings where the feature uses them). We handle this only on your behalf, to deliver your service.
  • Website visits: we count visits with a small counter that runs on our own website. There's no Google Analytics, no advertising tools and no third parties. It records the page you viewed, the website that sent you (like google.com), any campaign tag in the link, your device type (phone, tablet or computer), your approximate country based on your device's time zone, and whether you clicked a pricing or checkout button. It works without cookies and stores nothing on your device. It doesn't keep your IP address: to count unique visitors, it turns your IP address and browser type into a random code that changes every day and can't be traced back to you. Like any website, our hosting provider also keeps basic server logs (such as IP address, browser type and pages requested) for security and to keep the site running. Our audit and setup forms run on Google Forms, so your answers are stored in our Google account (see section 4).

3. Why we use it

  • To prepare your free audit and answer your questions.
  • To deliver, support and improve the services you buy.
  • To take payments, send receipts, and keep the records tax law requires.
  • To email you about your account, like setup steps, reports and payment reminders.
  • To send marketing emails, only if you've agreed (see section 8).

We don't sell or rent personal information, and we never use your customers' information for our own marketing.

4. Who we share it with

We use trusted service providers to run our business. Each only gets what it needs to do its job:

  • Stripe, for card payments.
  • Google Workspace (Gmail and Google Forms), for email and files. What you type in our free audit and question boxes is sent to our Google Forms.
  • Hostinger, which hosts our website and our visit counts.
  • AI service providers that help us create text, images, video and voice, and that power the AI Front Desk.
  • The platforms you ask us to post to, like Google, Facebook, Instagram and TikTok.

We may also share information if the law requires it, or with a buyer if our business is ever sold (under the same privacy protections).

5. Information stored outside Canada

Some of these providers store or process information outside Canada, mainly in the United States. While it's there, it's subject to that country's laws and may be accessed by its courts or authorities. We choose providers with strong security and privacy practices.

6. How long we keep it

  • Client account and content: while you're a client. After you leave, we delete it or hand it back within 90 days, unless you ask us to do it sooner.
  • Payment and tax records: 6 years, as Canadian tax law requires.
  • Free audit requests from people who don't become clients: up to 12 months.
  • Visit counts: up to 13 months.

7. How we protect it

We use reasonable safeguards: two-step login on our accounts, access limited to the work at hand, platform invite access instead of passwords, and encrypted connections. No system is perfect. If a breach creates a real risk of significant harm, we'll tell you, and the privacy commissioner, as the law requires.

8. Emails and Canada’s anti-spam law (CASL)

  • Account emails, like receipts, setup steps, reports and payment reminders, are part of your service.
  • We only send marketing emails with your consent, as CASL allows.
  • Every marketing email says who it's from and has an easy unsubscribe. We act on unsubscribes promptly, and within 10 business days at most.

9. Cookies

This website doesn't set cookies for analytics or advertising, so there's no cookie banner. Our hosting provider's security service may set one strictly necessary cookie that helps tell real visitors from bots. Our visit counter (see section 2) works without cookies. When you pay by card, you're taken to a Stripe checkout page, which uses its own cookies for security and fraud prevention under Stripe's privacy policy.

10. Your rights

You can ask us to:

  • see the personal information we hold about you,
  • correct anything that's wrong,
  • delete it (except records the law makes us keep), or
  • withdraw your consent (this may mean we can't keep providing a service).

Email getfoundkelowna@gmail.com and we'll respond within 30 days. If you're not happy with our answer, you can contact the Office of the Information and Privacy Commissioner for BC or the Office of the Privacy Commissioner of Canada.

11. Children

Our services are for businesses and aren't meant for children. We don't knowingly collect information from children.

12. Changes to this policy

If we update this policy, we'll post the new version here with a new “Last updated” date. If we change how we use your information in a big way, we'll email clients first.
